    Administrator Expenses

    Type Caption Description
    Field No. Specifies a code for the expense.
    Field Status Specifies the status of the expense. Can be of type "Open", "Submitted", "In process", "Rejected" or "Approved". The Status of the expense controls when it can be edited and what actions is possible to select.
    Field Total Amount Incl. VAT Specifies the total amount of the expense, including VAT.
    Field Resource No. Specifies the number of the resource.

    Action Submit Submit the expense for processing by an expense administrator.
    Action Reopen Reopen the expense for editing.
    Action Reject Reject the expense. When you choose Reject, you will be prompted to add a comment as to why the expense was rejected.
    Action Create Invoice Create the expense as a purchase invoice. The Status of the expense will be set to "In process" when the invoice is created, making the expense not possible to edit. If the created purchase invoice is deleted before posting, the Status of the expense will be set back to "Submitted".
    Action Expense Reports View all created expense reports that contain approved expenses according to the filter conditions used when the expense report was created. It is possible to delete an entire expense report, but it is not possible to edit it. An expense can be part of only one expense report.
    Action Expense Code Log Entries View the expense code log entries for the current resource. Only expense codes that have a specified Max Amount Limit are logged.
    Action Dimensions View or edit dimensions, such as area, project, or department, that you can assign to sales and purchase documents to distribute costs and analyze transaction history.

    Type Caption Description
    Field Project Task No. Specifies the number of the related project task.
    Field Planning Date Specifies the date of the planning line. You can use the planning date to filter the total sums of the project, for example, if you want to see the scheduled usage for a specific month of the year.
    Field Resource No. Specifies the number of the resource.
    Field Quantity Specifies the number of units of the resource that should be specified on the planning line.
    Field Quantity to plan Specifies the quantity to plan.
    Field Total Planned Specifies the total planned quantity.

    Automatic Acc. Groups

    Field G/L Account Specifies the general ledger account to which the expense code should be linked. When an expense is created as a purchase invoice, the values stated on the account will be inserted on the purchase invoice. This can be, for example, the VAT Product Posting Group for handling VAT.
    Field Comment Mandatory Specifies if a comment must be specified when using the expense code on an expense. Use this to ensure that information that is mandatory for certain types of expenses is stated on the expenses.
    Field Participants Mandatory Specifies if participants must be specified when using the expense code on an expense. Use this to ensure that information that is mandatory for certain types of expenses is stated on the expenses.
    Field Route Mandatory Specifies if a route must be specified when using the expense code on an expense. Use this to ensure that information that is mandatory for certain types of expenses is stated on the expenses.
    Field Project Expense Code Specifies the project expense code for the expense. Use this to filter which Project Tasks that will be possible to select when debiting a project. If this field is left blank, all Project Tasks with a Project Expense Code will be possible to select.
    Field Allowed Vendor Specifies the type of vendor on which it is possible to register expenses for this expense code. The type of vendor is set on the Expense Users page. Vendors of the Type "Private" are used for expenses where the payment to the user should be handled in Business Central. Vendors of the Type "Company" are used either for expenses that have been paid with a company card, or that are the type of expense that should be paid to the user by another system. This may, for example, be expenses that should be paid as part of the salary by a payroll system.
    Field Allow Quantity in Phone Client Specifies if it is possible to edit the quantity in the phone client for this expense code. Enable this if it is necessary for the user to fill in the quantity when expenses are registered in the telephone client on this expense code.
    Field Default Unit Price Incl. VAT Specifies a default unit price including VAT for the expense code. If an expense code is always or often registered with the same amount, it is advantageous to specify a default amount that will be inserted on the expense as a proposal that is possible for the user to change.

If an expense code is always or often registered with the same amount, it is advantageous to specify a default amount that will be inserted on the expense as a proposal that is possible for the user to change.
    Field Category Specifies a category for the expense code. Use this to define what type of expense it is. It is possible to filter on this value when creating a new expense report of approved expenses.
    Field Max Amount Limit Specifies the maximum amount allowed for the expense code in the current calendar year for each expense user. If the total amount exceeds this value, the expense will not be possible to submit.

    Expense Reports

    Action Create an Expense Report Create an expense report that contains approved expenses. Enter filters to define which expenses should be included in the expense report. For example, you can choose to filter on Category and only create an expense report for a certain type of expenses. An expense can be part of only one expense report. It is possible to delete an entire expense report, but it is not possible to edit it.

    Expense Users

    Type Caption Description
    Field User ID Specifies the user-ID, of the user to be added as an expense user.
    Field Pay-to Vendor No. (Private) Specifies the number of the vendor for whom the expenses will create purchase invoices and are payed to, when the expenses are paid by the expense user.
    Field Pay-to Vendor Name (Private) Specifies the name of the vendor for whom the expenses will create purchase invoices and are payed to, when the expenses are paid by the expense user.
    Field Pay-to Vendor No. (Company) Specifies the number of the vendor for whom the expenses will create purchase invoices, when the expenses are paid by the company.
    Field Pay-to Vendor Name (Company) Specifies the name of the vendor for whom the expenses will create purchase invoices, when the expenses are paid by the company.
    Field Expense Administrator Specifies if a user is an expense administrator. An expense administrator has access to all expenses and may edit, change and create expenses as purchase invoices.
    Field Blocked Specifies if the user is blocked. A blocked user can not create new expenses.

    Projects

    Project Journal Lines

    Type Caption Description
    Field Line Type Specifies the line type of a project planning line in the context of posting of a project ledger entry. The options are described in the following table.
    Field Chargeable Specifies if the usage is chargeable. Resets the unit price to zero for the project journal line when the box is unchecked.
    Field Posting Date Specifies the posting date you want to assign to each journal line. For more information, see Entering Dates and Times.
    Field Document Date Specifies the date when the related document was created.
    Field Document No. Specifies a document number for the journal line.
    Field External Document No. Specifies a document number that refers to the customers or vendors numbering system.
    Field Project No. Specifies the number of the project.

    Field Type Specifies an account type for project usage to be posted in the project journal. You can choose from the following options:

    Field Gen. Prod. Posting Group Specifies the items product type to link transactions made for this item with the appropriate general ledger account according to the general posting setup.
    Field Variant Code Specifies the variant of the item on the line.
    Field Shortcut Dimension 1 Code Specifies the code for the Shortcut Dimension 1, which is one of two global dimension codes that you set up in the General Ledger Setup window.

    Field Location Code Specifies a location code for an item.
    Field Bin Code Specifies the bin where the items are picked or put away.
    Field Work Type Code Specifies which work type the resource applies to. Prices are updated based on this entry.
    Field Currency Code Specifies the projects currency code that listed in the Currency Code field in the Project Card. You can only create a Project Journal using this currency code.
    Field Unit of Measure Code Specifies how each unit of the item or resource is measured, such as in pieces or hours. By default, the value in the Base Unit of Measure field on the item or resource card is inserted.
    Field Quantity Specifies the number of units of the project journals No. field, that is, either the resource, item, or G/L account number, that applies. If you later change the value in the No. field, the quantity does not change on the journal line.
    Field Remaining Qty. Specifies the quantity of the resource or item that remains to complete a project. The remaining quantity is calculated as the difference between Quantity and Qty. Posted. You can modify this field to indicate the quantity you want to remain on the project planning line after you post usage.
    Field Direct Unit Cost (LCY) Specifies the cost, in the local currency, of one unit of the selected item or resource.
    Field Unit Cost Specifies the cost of one unit of the item or resource on the line.
    Field Unit Cost (LCY) Specifies the cost, in LCY, of one unit of the item or resource on the line.
    Field Total Cost Specifies the total cost for the journal line. The total cost is calculated based on the project currency, which comes from the Currency Code field on the Project card.
    Field Total Cost (LCY) Specifies the total cost for this journal line. The amount is in the local currency.
    Field Unit Price Specifies the price of one unit of the item or resource. You can enter a price manually or have it entered according to the Price/Profit Calculation field on the related card.

    Field Line Amount Specifies the amount that will be posted to the project ledger.

    Field Line Discount Amount Specifies the discount amount that is granted for the item on the line.
    Field Line Discount % Specifies the line discount percentage.
    Field Total Price Specifies the total price in the project currency on the journal line.
    Field Total Price (LCY) Specifies the total price for the journal line. The amount is in the local currency.
    Field Applies-to Entry Specifies if the project journal line has of type Item and the usage of the item will be applied to an already-posted item ledger entry. If this is the case, enter the entry number that the usage will be applied to.
    Field Applies-from Entry Specifies the number of the item ledger entry that the journal line costs have been applied from. This should be done when you reverse the usage of an item in a project and you want to return the item to inventory at the same cost as before it was used in the project.
    Field Country/Region Code Specifies the country/region of the address.
    Field Transaction Type Specifies the type of transaction that the document represents, for the purpose of reporting to INTRASTAT.
    Field Transport Method Specifies the transport method, for the purpose of reporting to INTRASTAT.
    Field Time Sheet No. Specifies the number of a time sheet. A number is assigned to each time sheet when it is created. You cannot edit the number.

    Project Planning Lines

    Type Caption Description
    Field Project No. Specifies the number of the related project.
    Field Project Task No. Specifies the number of the project task to which the planning line is linked.
    Field Line Type Specifies the type of planning line.
    Field Usage Link Specifies whether the Usage Link field applies to the project planning line. When this check box is selected, usage entries are linked to the project planning line. Selecting this check box creates a link to the project planning line from places where usage has been posted, such as the project journal or a purchase line. You can select this check box only if the line type of the project planning line is Budget or Both Budget and Billable.
    Field Planning Date Specifies the date of the planning line. You can use the planning date to filter the total sums of the project, for example, if you want to see the scheduled usage for a specific month of the year.
    Field Planned Delivery Date Specifies the date that is planned to deliver the item connected to the project planning line. For a resource, the planned delivery date is the date that the resource performs services with respect to the project.

Enable this if you use a workflow system that requires that the first attachment to a purchase invoice is a PDF file.     Field File Name for Expense Attachment Specifies the name of the file used as the main attachment when creating expenses as purchase invoices.
