    How To Set Up VAT

    Step 1: Set Up VAT

    Smart Swedish VAT is dependent on that the default VAT settings in the VAT Posting Setup page have been created. You can do the set up manually or use the Set Up VAT guide. See information on how to set up VAT on Microsoft Learn.

    When the default settings in the VAT Posting Setup page have been created, it is time to Fill in VAT Line Number in VAT Posting Setup.

    Step 2: Create a Swedish VAT Statement

    The VAT Statements in Dynamics 365 Business Central are used for VAT reconciliation. You use them to check and analyze your posted VAT entries and compare them to what is posted in the general ledger.

    It can be a bit tricky to create a VAT Statement manually the first time, but with Smart Swedish VAT you can Create or update a VAT Statement automatically. See the workflow for how to create a VAT Statement with Smart Swedish VAT.

    Note

    The Update Template Lines action deletes all existing template lines and inserts new, based on the information in the VAT Posting Setup page.

    Tip

    You can copy and paste VAT statement lines, making it possible to add manual lines from another VAT Statement.

    How To Check and Analyze Swedish VAT

    Step 1: Check Box Numbers

    Check that the box numbers are filled in correctly on the VAT Posting Setup page. See which box numbers to use for each column in Getting Started. See detailed information about each box number on Skatteverket.

    Step 2: Check Sales Subject to VAT and Outgoing VAT

    When you use the Update Template Lines action, a line for each combination of VAT Business Posting Group and VAT Product Posting Group will be created, making it possible to check that the shares are correct between box numbers 05-08 and 10-12.

    When you preview the VAT Statement, you can drill down to the transactions of each individual line by clicking on the amount, making it possible to check which transactions are included for each line. You can add filters to the page of transactions to ensure that the records have been posted with the correct VAT templates.

    Check that box number 05-08 complies to the revenue accounts in your income statement, and that box numbers 10-12 complies to the outgoing VAT account(s) in your balance sheet.

    Tip

    We recommend that you leave the Starting Date blank when you preview VAT Statement and post the VAT Settlement, this to ensure that the VAT entries posted in the previous periods are included.

    Step 3: Check Non-Taxable Sales

    Check that the amounts in box number 35-36, 39-40 only consists of sales that are not subject to VAT, to customers outside of Sweden and that the sold services and goods have been added to the correct box number.

    Step 4: Check Purchase, Customs and Reverse EU VAT

    Click on each line amount to reach the transactions to ensure that the records have been posted with the correct VAT templates.

    Step 5: Check incoming VAT

    Check that box number 48 complies with your incoming VAT account(s) in your balance sheet.

    Tip

    You can filter your VAT accounts in the general ledger on System-Created Entry = "No", to see the entries on the VAT accounts that have been posted without a VAT template.

    If you are using Badger and Smart Swedish VAT, you can use the VAT reconciliation Power BI file to check and analyze VAT.

    How To Integrate with Swedish Tax Agency

    Use Swedish Tax Agency Entries to retrieve transactions and balances from your tax account at the Swedish Tax Agency. This is useful when you want to compare balances and reconcile posted entries.

    Swedish Tax Agency Setup

    1. Choose the search icon (ALT+Q), enter Swedish Tax Agency Setup, and then choose the related link.
    2. Select Account Type and Account No. Hover over a field to read a short description.
    3. Specify Registration No. For a company's registration number, add the digits 16 first, without hyphens. In the case of a personal identification number, use 19 or 20 depending on the century to which the number belongs.
    4. Choose if to use the connection provided by SmartApps or not. Enable the Use Custom Connection toggle to enter your own connection.

    Swedish Tax Agency Entries

    1. Choose the search icon (ALT+Q), enter Swedish Tax Agency Entries, and then choose the related link.
    2. Select the Get Entries action.
    3. A sign in window will open. To continue, accept the conditions and sign in.
    4. Specify the date from which entries will be retrieved from the Swedish Tax Agency.
    5. Balance and entries are now retrieved from the Swedish Tax Agency, if there are transactions from the selected date.
    Tip

    A new field named Balance (Swedish Tax Agency) has been added on the G/L Account Card. This allows you to easily reconcile and verify whether all transactions have been posted.

    Note

    If you change or remove the registration number on the Swedish Tax Agency Setup page, retrieved entries from the Swedish Tax Agency will be deleted.

    Transfer Rules

    Use transfer rules to map the text of the Swedish Tax Agency Entries to a G/L account depending on the Entry text.

    1. Choose the search icon (ALT+Q), enter Swedish Tax Agency Setup, and then choose the related link.
    2. Select the Settings action.
    3. Add a Code for the rule to be used to map the text to a G/L account or Bank account.
    4. Add a Description.
    5. Choose which G/L Account or Bank Account is to be used for the rule.
    6. Add a Filter Line to the transfer rule to determine which Tax Agency Entries this rule should apply for
    Note

    With Filter Lines is is possible to type for example *tax* to apply the rule for entries that has the word tax in the entry text, or @*tax* to apply the rule for both Tax and tax. It is also possible to enter a pipe (|) to combine several filters.

    Tip

    Check which Transfer Rules the Swedish Tax Agency Entries matches depending on the Entry Text on the Related action on the Swedish Tax Agency Setup page.

    Transfer to Journal

    Transfer entries to a selected journal specified on the Swedish Tax Agency Setup page. Only unhandled entries are tranferred.

    1. Choose the search icon (ALT+Q), enter Swedish Tax Agency Entries, and then choose the related link.
    2. Select Transfer to Journal and choose between Transfer to Journal or Transfer selected to Journal depending on whether you want to select which entries to transfer or transfer all unhandled entries.
    Tip

    If you have multiple companies and want to transfer to the journal and post entries, you can use the Eagle app. Use Functions to enqueue the report Transfer Entries to Journal with ObjectID 70326075. You can also enqueue the report with ObjectID 70337376 to Post General Journal entries.

    Tip

    On the Swedish Tax Agency Entries page it is possible to see if the entries has been transferred to a journal, posted, or both.
